Roles and Permissions

Alana Shopping B2B uses roles to control what team members can do in your workspace. Choose the right role when inviting someone based on their responsibilities.

Available Roles

Owner

Full access and control The Owner has complete access to everything:
  • Manage all workspace settings
  • Invite and remove team members
  • Change roles and permissions
  • Access billing and payment information
  • View and delete all workspace data
  • Transfer workspace ownership to another Admin
When to use: The person responsible for the workspace, usually the account owner.

Admin

Manage people and settings Admins can:
  • Invite and remove team members
  • Change roles for other members
  • Access and modify workspace settings (name, logo, security)
  • View billing information (but cannot change it)
  • View audit logs
  • Create and manage API keys
Cannot: Transfer workspace ownership, delete the workspace, or access billing payment methods. When to use: Team leads, managers, or trusted colleagues who help run the workspace.

Editor

Create and manage content Editors can:
  • Create, edit, and delete products
  • Create and manage catalogs
  • Edit product descriptions and metadata
  • Collaborate on content with other editors
  • View workspace members and their roles
Cannot: Access workspace settings, invite team members, or manage billing. When to use: Content creators, product managers, and anyone building product content.

Viewer

Read-only access Viewers can:
  • View all products and catalogs
  • Read product information
  • Access reports and analytics
  • View workspace members
Cannot: Create or edit anything, manage team members, or access settings. When to use: Stakeholders, clients, or team members who need to review content but shouldn’t make changes.

Assigning Roles

When you invite a team member, you choose their role. To change someone’s role later:
  1. Go to Workspace Settings > Team
  2. Click the role dropdown next to their name
  3. Select the new role
  4. The change is applied immediately

Best Practices

  • Owner — Keep this role for yourself or one trusted person
  • Admin — Give this to colleagues who help manage the workspace
  • Editor — Most team members should be Editors
  • Viewer — Use for clients, stakeholders, or read-only team members
  • Principle of least privilege — Only give people the access they need to do their job
